Information for Vendors
Vendors providing services for the Spartanburg County Foundation must have a W-9 form on file with the Foundation before an invoice can be paid.
NEW VENDORS
- W-9 Form – please submit the first page only to accounting@spcf.org or to the specific staff member with whom you are working. Please submit only the 2024 version of the federal form.
- Please note that the address on the W-9 is the address where any checks will be mailed.
- It is the responsibility of the vendor to inform the Foundation if they need a payment mailed to any address other than that specified on the W-9.
ESTABLISHED VENDORS – those who have already received one or more payments from the Foundation
- It is the responsibility of any established vendors to inform the Foundation of any changes to their business address.
- You may be asked to complete a new (2024) version of the W-9 form. You may complete the first page of the W-9 Form and send it to accounting@spcf.org at any time.
ACH PAYMENTS
Any vendor who has submitted their current W-9 form, may also submit the ACH form to accounting@spcf.org if they would like the Foundation to process payments via ACH. Please note that you must also submit either a voided check or a verification form (from your bank) with the ACH form as part of this process. If you have questions, please contact accounting@spcf.org.
PAYMENT PROCESSING
Checks are mailed from the Foundation on Fridays based upon approved invoices received by the finance department by the previous Friday. If you have a question about the status of an invoice payment, please contact either the staff member to whom you submitted the invoice or email accounting@spcf.org.
What is a PLANNED gift?
A planned gift is one to that you set-up now, but it is not distributed until after your death. It is distributed according to your wishes. There are a myriad of ways to establish a planned gift.
- Some donors appreciate the “plan now, give later” opportunity where they can establish a philanthropic account that receives funds from their estate and then distributions from the fund occur according to the direction they have given the Foundation.
- Some donors will make a charitable fund the beneficiary of a life insurance policy. They pay for the policy in small increments over time, having the peace of mind that upon their death, the policy pays out to their fund and those resources will be distributed by the Foundation according to their wishes.
- Existing fundholders often designate family members or other loved ones to continue their philanthropic legacy. Those with philanthropic accounts they are using now, may assign individuals to continue advising distributions from the fund they established after they have passed away.
- Existing fundholders also designate a list of nonprofit organizations to benefit from their fund after they have passed away, either for a designated period of time, or as a percentage of the fund in perpetuity or until their fund has been depleted.
- Those who establish a planned gift may change the designated beneficiaries of their planned gift while they are living. If their philanthropic interests change, the Foundation will honor those changes.

Financial Investment Performance
Financial statements, including audited statements, 990’s and 990-T’s, are available to the public at all times. However, the 990-T is for unrelated business income.
